Purpose of the Role

BGIS is seeking an experienced Facilities Coordinator to support the day-to-day operations of a busy corporate headquarters based in South Brisbane. Reporting directly to the Business Support Manager, you will work collaboratively with both client and BGIS teams to coordinate maintenance activities, manage service delivery, support compliance and provide a consistent point of contact for stakeholders.

This is a fast-paced and varied role that would suit someone who enjoys bringing structure and consistency to a busy environment. You'll be confident working through competing priorities, be an ambassador for safety, comfortable interpreting information from multiple sources, and able to use sound judgement to determine the best course of action.

The ideal candidate will be calm, organised, adaptable, and solutions-focused, with strong communication skills and a genuine ability to build positive relationships while creating clarity and stability across the account.

Key Responsibilities

  • Act as the primary point of contact for facilities-related enquiries and service requests.
  • Coordinate and delegate maintenance requests through the CMMS, ensuring work orders are completed strictly within contractual timeframes.
  • Support the Business Support Manager and Facilities Managers with financial and procurement tasks, including purchase orders, invoice processing, and budget management.
  • Oversee service contracts, subcontractors, and periodic site inspections to ensure quality and compliance.
  • Support Fire Life Safety, building compliance, and WHS requirements, including accurate logging and timely management of safety incidents and hazards.
  • Coordinate soft services, cleaning providers, waste management, and consumables to maintain a clean, safe, and functional environment.
  • Support hard and soft service delivery across the site, ensuring SLAs are consistently met.
  • Maintain accurate records, meeting minutes, documentation, and monthly reporting.
  • Coordinate access cards, mailroom activities, landlord communications, and administrative requirements.
  • Build strong relationships with clients, stakeholders, contractors, and team members to support consistency and continual improvement.

Education, Experience & Skills

Essential:

  • Experience within facilities management, property, corporate real estate, or integrated services environments.
  • Demonstrated experience coordinating maintenance activities and service delivery.
  • Sound proficiency in CMMS platforms and Microsoft Office applications including Word, Excel, and Outlook.
  • Sound understanding of financial processes, including invoicing, purchase orders, and budgeting.
  • Strong understanding of QA, WHS, environmental, and compliance systems.
  • Excellent communication, organisational, and stakeholder engagement skills.
  • Ability to work autonomously, manage competing priorities, and determine appropriate courses of action.
  • High School Certificate or equivalent, with experience in Building or Facilities Management.

Desirable:

  • Knowledge of building services and maintenance activities.
  • Current First Aid Certificate.
  • Additional qualifications or training in environmental legislation or systems.
  • Experience supporting complex, multi-service, or aviation-related environments.

Workplace Flexibility

This is a full-time, permanent position based 100% on-site at Brisbane HQ. The role operates during core business hours, with occasional after-hours support required for emergencies..
