Administrative Coordinator – SEPTA SCOPE Program

Up to $25.00/hour | Full-time | Monday-Friday | Philadelphia (Penrose, office-based)

CATCH is partnering with SEPTA to build a new outreach team focused on connecting vulnerable people across Philadelphia’s transit system with the help and services they need. Field teams do the engagement. This role makes sure the record of that work is accurate, complete and on time.

As Administrative Coordinator, you’ll be the reporting and administrative backbone of the program. You’ll own the deadline calendar, review what comes in from the field each day, reconcile information across the program’s systems, support billing, and keep training and credential records current. When SEPTA asks for something, you’re the reason it’s ready.

The deadlines are fixed: daily encounter submissions, monthly data revisions by the second Wednesday, invoicing by the second Friday, quarterly compliance and training reporting. If you’re the person who catches a missing note before anyone else notices it, this is your kind of work.

You’ll report to the Outreach Program Manager and work closely with Human Resources, Finance and IT.

What you’ll do

  • Maintain the program calendar for daily encounter submissions, second-Wednesday monthly data revisions, second-Friday invoicing, quarterly compliance and training reporting, and other required deadlines
  • Review outreach encounter records and end-of-shift documentation for completeness, consistency and timeliness, and follow up quickly on anything missing
  • Prepare SEPTA activity reports, monthly data revisions, training and compliance reports and other required deliverables
  • Prepare billing-support documentation and reconcile field activity, hours, location and station information for accurate invoicing
  • Reconcile information across approved program tools, which may include Clinically AI, the Homeless Management Information System, Netsmart myEvolv, ArcGIS work-location reporting and spreadsheets
  • Maintain training, credential and expiration records, and alert the Program Manager and Human Resources before anything affects field eligibility
  • Support rosters, onboarding, access requests, devices and other program administration
  • Keep records organized and audit-ready, and protect confidential client, employee and program information

What you can expect

  • Up to $25.00/hour
  • Full-time, hourly, nonexempt, 40 hours a week
  • Office-based at CATCH’s Penrose location, with no driving requirement and no SEPTA field-clearance requirement for this role

Schedule

Monday-Friday on a regular office schedule. Final hours will be confirmed and discussed during the initial phone screen.

Who we’re looking for

Relevant backgrounds may include:

  • Administrative coordination, reporting or billing support
  • Healthcare or behavioral health operations
  • Data coordination or contract reporting for a government or payer-funded program
  • Any role where fixed deadlines and clean records were the job

Behavioral health documentation, electronic health record, HMIS or contract-reporting experience is helpful but not required.

You’ll also need strong attention to detail and follow-through, comfort with spreadsheets and the ability to learn several electronic systems, the instinct to spot a discrepancy and chase it down with field staff and leadership, and the judgment to handle confidential information properly. You should be able to perform the essential functions of the position with or without reasonable accommodation.
