The BMW Training Administrator serves as the operational heartbeat of the BMW Training Centre, ensuring training programs, participants, systems, and facilities are managed with accuracy, efficiency, and professionalism. As the first point of contact for training enquiries, this role plays a critical part in delivering a best-in-class experience for dealership personnel, trainers, and stakeholders.
This position combines training administration, customer service, event coordination, data management, and operational support. What You'll Do
- Serve as the primary point of contact for training enquiries via phone, email, and in-person interactions.
- Coordinate training administration activities including participant registrations, attendance tracking, course changes, course closures, user profile management, and learning assignment administration.
- Manage the training administration inbox and ensure timely responses to enquiries and requests.
- Support the delivery of certification and recognition programs, including the preparation and distribution of certificates, awards, and trophies.
- Maintain accurate training records and ensure data integrity across training systems and reporting tools.
- Download, upload, and manage virtual classroom recordings and digital learning assets.
- Coordinate participant communications, including attendance follow-up and training reminders.
- Manage training centre inventory, supplies, and consumables, ensuring facilities remain fully operational and professional.
- Coordinate catering, lunch, and beverage requirements for training programs and events.
- Facilitate internal and external mail requirements across the training facility.
- Liaise with vendors, suppliers, and facilities teams regarding maintenance requests and operational needs.
- Provide administrative and operational support to Training Managers and other members of the training team.
- Assist in the development and continuous improvement of training centre processes, procedures, and operational standards.
- Support special projects and initiatives that enhance the overall effectiveness of the BMW Academy.
What Makes You a Great Fit
- Minimum 5 years of administration experience, preferably within training, automotive, dealership, or customer-facing environments.
- Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously.
- Exceptional attention to detail and commitment to data accuracy.
- Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
- Excellent communication and interpersonal skills with the ability to build positive relationships across all levels.
- Professional, customer-focused approach with strong emotional intelligence.
- Ability to work independently while remaining highly collaborative within a team environment.
- Comfortable working in a fast-paced, ever-changing environment and adapting to competing priorities.
- Experience with training administration systems, LMS platforms, or dealer learning environments is highly desirable.
- Automotive, dealership, or training industry experience preferred.
- Knowledge of BMW Group brands and operations is advantageous.
