About the Role

We're looking for an experienced and motivated 2IC/Team Leader to join our Oxley Clinic, on a permanent full-time basis.

You may already be an experienced leader with a passion for creating exceptional patient experiences and keeping operations running smoothly; or you might be a senior medical administrator or senior receptionist ready to step up into your first formal leadership role.

Reporting to the Practice Manager, you'll play a key role in the day-to-day leadership and success of the clinic. As the second-in-charge, you'll provide operational support, mentor the administration team and help ensure the clinic delivers an outstanding experience for patients, clients and colleagues.

You'll also step into the Practice Manager's responsibilities when required, making this an excellent opportunity for someone looking to further develop their leadership career within a national healthcare organisation.


Key Duties & Responsibilities

Your responsibilities will include:

  • Supporting the day-to-day operations of the clinic to ensure efficient service delivery
  • Leading, coaching and mentoring the administration team
  • Assisting with recruitment, onboarding, training and performance support
  • Promoting a positive, collaborative and customer-focused team culture
  • Providing exceptional reception and administrative support
  • Coordinating medical appointments and bookings
  • Managing medical results and related administrative processes
  • Conducting preliminary medical assessments and administering health questionnaires
  • Managing invoicing and general administrative functions
  • Supporting the Practice Manager with operational and business priorities
  • Acting as the clinic leader during the Practice Manager's absence

About You

You're an organised and confident leader who enjoys supporting others, solving problems and delivering excellent customer service. You thrive in a fast-paced environment, communicate effectively with a wide range of people and are comfortable balancing operational responsibilities with hands-on administrative work.

You'll also bring:

  • Experience supervising or leading administration teams, ideally within a healthcare environment
  • Excellent communication and interpersonal skills
  • A genuine passion for delivering exceptional customer service
  • Strong organisational skills with the ability to manage competing priorities
  • High-level computer literacy and confidence learning new systems
  • Experience using Clarity and/or Best Practice software (highly regarded)
  • The ability to motivate, coach and develop team members to achieve positive outcomes
