Trusted Legal PA - High Impact Role Supporting Senior Leaders

Our Sydney team is looking for an experienced Legal PA (Legal Secretary) to join them on a full-time basis, working Monday to Friday, 9:00am to 5:30pm.

As a valued member of the team, you'll play a pivotal role in ensuring the smooth day-to-day operation of a busy legal practice. Providing high-level support to a Partner and team of lawyers, you'll help drive efficiency, enhance client service, and contribute to the overall success of the team.

Beyond your immediate role, you'll be part of a connected and supportive network of Legal PAs across the firm, with opportunities to contribute to wellbeing, inclusion, knowledge sharing, and continuous improvement initiatives.

Your responsibilities will include:

  • Proactively managing complex inboxes, diaries, travel arrangements, and competing priorities

  • Coordinating matter administration, including client and matter onboarding, compliance requirements, conflict searches, engagement letters, and related processes

  • Managing end-to-end billing workflows, and ensuring invoicing requirements are met accurately and on time

  • Building and maintaining strong client relationships while supporting business development activities, events, and client-facing initiatives

  • Preparing high-quality correspondence, presentations, legal documentation, and other business-critical materials

  • Coordinating document production, records management, filing, and broader administrative processes across the practice

  • Managing expenses, invoices, and other administrative requirements in a timely and accurate manner

  • Working collaboratively with lawyers, business operations teams, and fellow legal PAs to deliver exceptional service

  • Assisting with overflow work, leave coverage, and broader team requirements where needed

  • Mentoring junior team members and sharing knowledge to support the development of others

  • Identifying opportunities to improve processes, embrace technology, and contribute to continuous improvement initiatives across the team

What We're Looking For

We're seeking a confident, proactive, and solutions-focussed Legal Assistant who brings:

  • At least 3-8 years' experience in a legal support role within a law firm environment

  • Proven experience supporting at a Partner and a team of lawyers in a fast-paced setting

  • End-to-end billing experience, ideally with exposure to Aderant or similar practice management system

  • Experience managing client and matter administration, compliance processes, and engagement documentation

  • Advanced organisational and time management skills, with the ability to effectively prioritise competing demands

  • Strong Microsoft Office skills and confidence adopting new technologies and ways of working

  • Exceptional attention to detail and commitment to delivering high-quality work

  • Excellent communication and relationship-building skills, with a strong client service mindset

  • Professionalism, discretion, and sound judgement

  • A collaborative approach and willingness to support colleagues and contribute positively to the wider team.

  • The ability to work autonomously, take ownership of outcomes, and proactively anticipate the needs of stakeholders

  • A growth mindset with a genuine interest in continuous learning, process improvement and service excellence
