Executive Assistant - True Business Partner to EGM
UGL's Services division delivers operations, maintenance and asset management solutions across critical infrastructure and essential industries, working with clients across energy, transport, utilities and defence to keep major assets running safely and efficiently.
We're looking for an experienced Executive Assistant to support the EGM of our Services division, based in our Melbourne office on Southbank Boulevard. This is a permanent, full-time role where you'll keep day-to-day operations running smoothly while partnering closely with the EGM and playing a key role in supporting leadership priorities and business initiatives.

About the role
You'll manage a busy, forward-planned calendar (this leader likes things mapped out well in advance), coordinate frequent travel, and stay across priorities with regular check-ins. There's a strong preference for someone who stays one step ahead and keeps everything on track without needing to be asked.
Beyond that, there's real scope to get involved in supporting the Services leadership team, bringing people together, coordinating and planning sessions. Over time, you'll also have the opportunity to take on small projects, support new initiatives, and help improve how the team works together.
Key responsibilities
Manage a complex, forward-planned diary with regular check-ins on priorities.
Coordinate frequent interstate travel, including detailed itineraries planned well in advance.
Liaise nationally to organise site visits, client meetings and leadership schedules.
Support leadership activities including meetings, planning sessions and presentations.
Assist with business initiatives, maintaining information and supporting small projects as the role evolves.

Highly organised EA with experience managing busy, complex schedules.
Proactive and comfortable staying one step ahead of priorities.
Strong coordination skills, particularly across travel and multiple stakeholders.
Confident working with senior leaders and building trusted relationships.
Open to learning the business and getting involved beyond core EA responsibilities.
