THE POSITION
The Audit and Governance Co-ordinator provides support to the Team Leader Governance and Executive Support in ensuring the coordination, compliance and facilitation across AlburyCity.
This role has a primary focus on the AlburyCity's Audit, Risk and Improvement Committee (ARIC), Internal Audit and broader Governance functions, as well as the coordination and administration of Council and Committee meetings, Public Forums, Community Forums and RAMJO meetings.
The position is responsible for overseeing and coordinating the work of the Council Governance Officer across all assigned tasks, including providing guidance, support, quality assurance and assistance with complex or high-profile meetings. This includes overseeing the administration of meetings, preparation of agendas and minutes, workflow management,, action tracking and ensuring accountability and legislative compliance are achieved.
The role engages with internal and external stakeholders to assist with delivering key governance audit actions. Other responsibilities including supporting public access to information processes, maintaining corporate compliance systems, ensuring governance related websites on the AlburyCity Webpage and Alby are current and contributing towards governance frameworks and continuous initiatives across the organisation.

EMPLOYMENT CONDITIONS:
- Based on a 35 hour week, with actual days and times being Monday to Friday, 8.30am to 5pm, with an RDO in accordance with AlburyCity's RDO guidelines.
- This position does not require you to wear a compulsory uniform, however you must follow the dress code requirements within the AlburyCity's Our People Dress Code Standards. Our People are required to present a smart and professional image to the public at all times including when in public and when working remotely.
This position involves working in a predominantly indoor environment and using a computer is considered a core component of the role. There may be occasional visits to other work locations. The position requires an average level of aerobic and physical fitness to undertake occasional physical activities, including manual handling tasks as part of a normal working environment. A medical declaration will be required to be completed prior to commencement. - This position requires the employee to lodge an annual Pecuniary Interest Return.
- This position is delegated with certain powers, authorities, duties and functions of Council under the AlburyCity Delegations of Authority in accordance with section 378 of the Local Government Act.
- This position is subject to alcohol and other drug testing.
- This position is located at the AlburyCity Administration Building, 553 Kiewa Street, Albury with occasional visits to external sites/depots as required
ESSENTIAL CRITERIA:
- Tertiary qualifications in Business, Law or related discipline or extensive relevant work experience.
EXPERIENCE:
- Strong experience in interpreting and applying legislative requirements, or knowledge of the legislative framework for dealing with Audit, Risk and Improvement Committee and Internal Audit functions.
- Recent experience in working in local government or a public sector environment would be desirable.
SPECIALIST KNOWLEDGE AND SKILLS:
- Good understanding of Governance and Audit principles relating to Local Government.
- Strong investigative skills.
- Strong ability to form effective working relationships.
- Strong co-ordination and task management skills.
- High level written and verbal communication skills.
- Demonstrated ability to develop policy and administration systems.
- Good computer literacy in the use of a variety of software including, including MS-Outlook, MS-Word, MS-Excel and electronic document management systems.
KEY RESPONSIBILITIES
Council, Committee and Governance Coordination
- Oversee, coordinate and provide guidance to the Council Governance Officer in the delivery of all Council, Committee, Public Forum and governance-related functions, including quality assurance of agendas, minutes, reports and action tracking.
- Oversee the preparation and coordination of the Council and Committee meetings, Public Forums and Community Forums, including agendas, minutes, reports and associated actions in accordance with legislation, within strict timelines.
- Attend Council and Committee Meeting with the Council Governance Officer, including assisting with vote collection, quorum management and the coordination of large public forums where required
- Coordinate and oversee governance support for RAMJO Meetings, including Agenda preparation, minute taking, action tracking and follow up activities
- Ensure Council meeting webpages are regularly updated with all relevant documentation, including agendas, business papers, minutes, recordings and associated governance documents, in line with legislative and transparency requirements
- Oversee the coordination and maintenance of Council Registers to meet legislative and reporting requirements.
Audit, Risk and Improvement Committee (ARIC) RAMJO and Internal Audit
- Coordinate all internal and external audits to ensure audit activities are planned, monitored and delivered in accordance with the approved audit plans and timelines
- Ensure the successful implementation and compliance with the NSW Office of Local Government Risk Management and Internal Audit Guidelines requirements through ARIC, RAMJO and Internal Audit functions.
- Under the supervision and support of the Team Leader Governance and Executive Support, contribute to the development and delivery of AlburyCity's Internal Audit Plan, including tracking the progress, implementation and closure of audit recommendations.
- Provide endtoend administrative and governance coordination across the ARIC and RAMJO functions, including responsibility for the preparation, review, maintenance and ongoing currency of:
o meeting agendas, business papers and minutes
o action registers and decision tracking
o Committee Charters
o Terms of Reference
o Forward Meeting Plans
o ARIC fouryear Strategic Work Plan
o Annual ARIC Work Plans
o Annual ARIC selfassessments and committee performance reviews - Ensure all ARIC and RAMJO documentation is accurate, compliant, versioncontrolled, endorsed as required, and published or reported in accordance with governance and legislative obligations.
- Support governance processes relating to the recruitment, appointment, induction and performance review of the ARIC Chair and committee members, in line with legislative requirements and OLG Guidelines,
- Coordinate the administration and processing of committee member fee payments, including verification, approval and recordkeeping in accordance with policy and governance requirements.
- Maintain effective working relationships and engagement with ARIC members, RAMJO representatives, and internal and external audit facilitators.
Governance, Compliance and Information Access
- Assist with developing and maintaining policies, procedures and processes.
- Respond to formal and informal requests for access to information under the Government Information (Public Access) Act 2009 (NSW), the Privacy and Personal Information Protection Act 1998 (NSW) and the Health Records and Information Privacy Act 2002 (NSW) where required.
- Assist with other projects being conducted by the Governance and Executive Support Team.
General
- Perform other tasks or duties as directed by the Team Leader which are within the limits of the employee's skill, competence and training.
