The Recruitment Coordinator is an integral member of the APAC Experienced Recruitment Team, and the core driver of the candidate experience. As a recruitment coordinator, you will be responsible for ensuring an excellent end-to-end candidate experience while being hands on in the day-to-day operations of all interview coordination. You will need to handle a varied workload, effectively prioritize and deliver with polish. This role is integral to the overall success of team.

Your core responsibilities:

  • Place the candidate experience journey at the forefront of all decision making
  • Handle heavy interview scheduling in a fast-paced environment across multiple time zones
  • Schedule and coordinate phone screens, assessments, onsite interviews, technical interviews, and debrief meetings with recruiters, managers and interview teams
  • Provide high touch care and act as primary contact for candidates throughout their entire experience; own the candidate experience end-to-end, from first contact to offer
  • Identify workflow inefficiencies and collaborate cross-functionally to improve processes that deliver high-quality results
  • Process and own offer letter stage and documentation
  • Understand key stakeholders' objectives, have insight to the business and have confidence holding senior level conversations
  • Explore and leverage AI tools to enhance coordination workflows, improve efficiency, and elevate the candidate experience
  • Collaborate with the team to identify, test, and champion AI-driven process improvements within the recruitment function
  • Other duties to support the success of the talent acquisition team as needed

Your Skills and Experience:

  • Experience managing complex scheduling, coordination, logistics, or administrative workflows in a fast-paced environment
  • Ability to stay highly organised, prioritise effectively, and manage multiple moving pieces simultaneously
  • Strong attention to detail and a high standard of delivery and follow-through
  • Excellent communication skills with the confidence to interact professionally with candidates, senior stakeholders, and interviewers
  • A proactive, solutions-focused mindset with the ability to anticipate problems and keep things moving
  • Comfort working with confidential or sensitive information with discretion and professionalism
  • Genuine interest in creating an exceptional candidate or stakeholder experience
  • Curiosity and openness toward AI tools, automation, and finding smarter ways of working
  • Adaptability, learning agility, and comfort navigating ambiguity in a dynamic environment
  • Experience in recruitment coordination, executive assistance, operations, team administration, customer-facing coordination, or similar highly organised support roles is valued but not essential
  • Experience using scheduling, ATS, CRM, or workflow tools (Greenhouse experience is a plus, but not required)
