Project Administrator
With a strong pipeline of projects across the Fuels and Energy sector, we are seeking an experienced Project Administrator (to join our Brisbane CBD team.
In this role, you will support project delivery teams in a fast-paced, high-volume environment, with a strong focus on procurement coordination, vendor engagement, and commercial support activities. You will work closely with delivery teams, procurement stakeholders, and key internal functions to ensure efficient coordination, reporting, and administrative support across multiple projects.
This role is ideally suited to Project Administrators with experience in Oil & Gas, Utilities, Heavy Industrial, or Construction environments, particularly those who thrive in dynamic, site-influenced project settings and have exposure to procurement or supply chain processes.
About the role
- Provide end-to-end project administration support across multiple workstreams
- Coordinate project procurement activities, including raising purchase requisitions, tracking orders, and liaising with vendors and internal procurement teams
- Coordinate documentation, reporting, and project correspondence
- Maintain project records, procurement registers, and systems (SAP, SharePoint, MS Office)
- Support project and delivery teams with scheduling, reporting, and deliverables tracking
- Manage onboarding, timesheets, procurement coordination, and general logistics
- Ensure timely follow-up on key actions, procurement milestones, deadlines, and outstanding items
- Assist with document control, ensuring compliance with project, procurement, and client requirements
- Liaise with internal stakeholders, procurement teams, and site teams to keep projects moving efficiently
What are we looking for you to bring to the team
- Proven experience in a Project Administrator role within Oil & Gas, Utilities, Construction, Heavy Industrial environments or similar
- Exposure to procurement, purchasing, or supply chain coordination within a project environment
- Strong systems capability including SAP (or other ERP), SharePoint, and MS Office Suite
- Highly organised with strong attention to detail and the ability to manage competing priorities
- Experience supporting maintenance, engineering, or project delivery teams in a high-volume environment
- Strong communication skills with the ability to engage across multiple stakeholders and vendors
- Proactive approach with strong follow-up and coordination capability
- Ability to work effectively in a fast-paced, deadline-driven environment
