The Nepean Blue Mountains Health District offers a wide range of Medical Imaging (Radiology), Nuclear Medicine, and Nuclear Medical Therapy procedures through our various facilities/services with a goal to help diagnose, assess, and treat patient's injury or disease.

Nepean Hospital is seeking a highly organised and motivated Administration Officer to provide accurate, efficient, and effective secretarial and administrative support within the Nuclear Medicine and PET Department. This role plays a key part in coordinating multiple research projects across the service, working closely with the Clinical Services Manager, Research Lead, Chief Radiation Scientist, and clinical teams to ensure the smooth delivery of both clinical and research activities.

The successful candidate will be responsible for coordinating patient and participant appointments, supporting the recruitment of study participants, undertaking survey data collection, and managing database entry and maintenance. In addition, the role will contribute to the administration of research related tasks and support compliance with billing requirements, including accurate coding, Medicare and insurance claim processing, account reconciliation, and follow up of outstanding payments and claim rejections.

What you will bring to the role

  1. Demonstrated high level administrative skills and organisational skills required to set priorities and monitor workflow in the area of responsibility with a high attention to detail and problem solving ability.
  2. Demonstrated ability to show initiative and use sound judgment and work collaboratively and as part of a team as well as independently.
  3. Possess a positive attitude and sound work ethic whilst adapting to changing work processes and environments whilst carry out a variety of functions which may be complex in nature and require judgement in selecting and applying established principles, techniques and methods.
  4. Demonstrated ability to identify issues of relevance, sensitivity and confidently, and knowing when to escalate matters of importance and urgency and possess the ability to investigate or evaluation legislation, regulations, instructions or procedural guidelines relevant to the tasks and responsibilities.
  5. Extensive experience in the use of the Microsoft Office Suite of products and the ability to carry out inspection and monitoring functions to ensure outputs are of a high quality.
  6. Demonstrated ability to manage a high workload, prioritise tasks whilst under sustained pressure, and maintain accuracy and attention to detail and the ability to delegate work to subordinates where appropriate.
  7. Highly developed communication skills both oral and written with an ability to interact with people at all levels and possess the ability to write reports, documents, correspondence, including drafting complex correspondence for senior officers, accurately and clearly.
  8. Demonstrated ability to carry out routine pay office duties involving the calculation of employee pays and entitlements together with provision of direct advice on pay and conditions to employees and having had a minimum of 2 years' service carrying out these duties.
