The Administration portfolio within the College of Sport, Health and Engineering is seeking to fill two Senior Administrative Officer (Student and Resource Management) positions.

About the Team:

A high-performing team delivers efficient, student-centred operational support across the College's teaching and learning activities.

Within this portfolio, Student and Resource Management (SRM) is responsible for:

  • Coordinating unit offerings and course sequencing.
  • Managing timetabling inputs and specialist facility requirements
  • Overseeing sessional staff contracting and workload data
  • Producing analytical reports to support College-level decision-making
  • Driving continuous improvement in resource management

About the Role:

This role focuses on coordinating unit offerings, maintaining accurate class quotas, and supporting the College's timetabling and sessional staffing frameworks. You will analyse data from multiple enterprise systems to identify scheduling clashes, enrolment trends, and potential resource impacts, ensuring timely escalation and advice to stakeholders. You will prepare meeting papers, maintain high quality data records, service key operational meetings, and support SRM improvements during peak planning cycles. The role also involves resolving escalated student progression or timetable issues, contributing to system enhancement projects, and providing clear technical guidance on scheduling processes and timelines.

Position Details:

Classification: HEP Level 6 by 2 positions

Salary: $91,796 per annum - $99,361 per annum + 17% superannuation

Employment Type: Full-time, continuing

Hours per Week: 36.75 hours

Location: Hybrid (Melbourne CBD Campus)

  • Demonstrated experience coordinating unit offerings, class quotas, and timetabling activities within a complex organisational environment.
  • Strong analytical skills, with the ability to interpret data across multiple university systems and provide clear, proactive advice and guidance.
  • Sound judgement and problem-solving capabilities, with a proven ability to resolve operational challenges while maintaining strong stakeholder relationships.
  • Excellent organisational and time-management skills, including the ability to manage high-volume workloads, meet critical deadlines, and quickly adapt to systems such as Excel, Syllabus+, StudentOne, and InfoVU.
  • A proactive approach to identifying and implementing process improvements that enhance operational efficiency and service delivery.
  • Exceptional attention to detail, ensuring accuracy across data management, reporting, and documentation.
  • A professional, calm, and solutions-focused approach during peak periods, ensuring continuity of service and the delivery of high-quality outcomes.
