The Role
BGIS is seeking a highly organised and customer-focused Operations Support Administrator to join our Self Perform team in Sydney. In this fast-paced and dynamic role, you will play a critical part in coordinating the delivery of planned and reactive maintenance services across multiple client contracts.
Working closely with Area Managers, technicians, clients, and subcontractors, you will be responsible for scheduling, dispatching, and monitoring maintenance work orders to ensure service delivery meets contract requirements, service level agreements (SLAs), and key performance indicators (KPIs).

What You'll Be Doing
- Coordinate and dispatch reactive and planned maintenance work orders to field technicians
- Schedule maintenance activities to ensure SLA and KPI requirements are achieved
- Allocate work based on technician location, skill set, priority, and availability
- Monitor and manage work orders through the field service management platform (Astea or similar)
- Provide operational support to Area Managers and field teams
- Respond to internal operations enquiries and client service desk requests
- Generate reports and provide operational updates to management teams
- Liaise with subcontractors, suppliers, and internal stakeholders as required
- Support purchase order processing, stock coordination, and maintenance cost tracking
- Assist with maintaining accurate records, task updates, closures, and reporting
- Build positive relationships with clients and ensure a high standard of customer service
- Support ongoing process improvements to enhance operational efficiency and service delivery
Your Education, Experience & Skills
- Minimum 2 years' experience in facilities management, operations support, trade services, scheduling, or a similar environment
- Experience using ERP, CAFM, CMMS, or field service management systems (e.g. Astea, SAP, Oracle, Maximo)
- Strong scheduling, coordination, and administrative capabilities
- Excellent customer service and stakeholder management skills
- Strong analytical, organisational, and problem-solving abilities
- Ability to prioritise and manage competing tasks in a fast-paced environment
- Intermediate Microsoft Office skills (Excel, Word, Teams)
- Strong written and verbal communication skills
- Solution-focused mindset with a commitment to continuous improvement
- Full working rights in Australia (essential)
