Purpose of the Role
BGIS is seeking an experienced Procurement Expert - Supply Chain Manager to work within fast-paced property maintenance team. In this role, you will work collaboratively across multiple internal & external stakeholders, to maintain critical systems, improve reporting capability, resolve workflow issues, and support data-driven operational outcomes.
The work environment is fast paced & highly dynamic. Priorities can shift quickly, with large volumes of work order data, necessitating an agile and proactive approach to meet stakeholder expectations. Success in this role will come from being adaptable, solutions-focused, and hands-on. An integral part of the BGIS team, the successful applicant will understand how automation and defined SOP's can bring operational & administrative efficiencies and improve service delivery levels to our client.
The ideal candidate will enjoy problem-solving, providing data driven insights & working collegiately with both technical and non-technical stakeholders. You will naturally organised, diagnostic, resilient, and confident at communicating across different levels of the business. Experience building reports and dashboards, providing training, identifying business risks through system analysis, and improving processes through technology and automation will be highly regarded.

- Support a key Government Building Maintenance & Construction Account
- Category Management
- Strategic sourcing and purchasing
- Bid & Tender support
- Vendor compliance
- Vendor relationship management
Other Key Responsibilities
- Maintain and support operational systems, databases, and work scheduling platforms
- Analyse work order data to identify issues, stalled workflows, and KPI risks, ensuring timely resolution
- Develop and maintain operational reports, dashboards, and reporting catalogues
- Support system governance including user access management and data integrity
- Investigate system issues, coordinating resolution with stakeholders
- Perform work order reconciliations and support smooth integration between operations and finance teams
- Upload and maintain subcontractor profiles, documentation, and vendor portal records
- Assist with system testing and change management activities for upgrades and new releases
- Provide system user training and support to stakeholders
- Identify opportunities to streamline manual processes and improve operational efficiency through system enhancements and automation
- Attend stakeholder and client meetings to provide reporting insights and operational updates
- Support project-related initiatives and continuous improvement activities
Education, Experience & Skills
Essential:
- Experience in systems support, reporting analysis & data management
- Analytical capability with experience interpreting work order & financial data
- Experience using CMMS platforms, or Work Order databases
- Advanced Microsoft Excel skills and literacy across Microsoft Office applications
- Experience building reports and dashboards for business reporting
- Strong verbal & written communication skills
- Ability to manage competing priorities within a fast-paced work environment
- Strong attention to detail and problem-solving capability
- Qualifications in Business Process, Information Systems, or related disciplines
Desirable:
- Experience within facilities management & property maintenance environments
- Exposure to Power BI, automation tools, or AI-driven process improvements
- Understanding of operational or project management principles
- Experience working with subcontractors and vendor management processes
- Knowledge of APIs, system integrations & governance frameworks
- Experience supporting system implementations, upgrades, or testing activities
Workplace Flexibility
This is a full-time permanent position based onsite in the Sydney CBD office, conveniently located close to public transport. Due to the highly collaborative and operational nature of the role, regular onsite presence is required to support stakeholders and business operations effectively.
